Administrative Assistant
Heritage Baptist Church in Farmville, VA is seeking a part-time Administrative Assistant to assist the church pastor, staff and leadership.
Position summary: Position is responsible to the pastor for performing administrative, secretarial and financial duties related to the ministry of the church. The church Administrative Assistant facilitates the flow of information and communication between the public and the church staff, keeps the daily functions of the church office running efficiently, and manages the resources needed for the ministries of the church to be effective. The successful candidate for this position will be a Christian, able to represent Heritage Baptist Church.
Position is part time, 9 am – 4 pm, Monday – Thursday. Some flexibility in hours may be required.
Primary duties:
- Perform secretarial duties related to pastoral and church ministries. Answer phones and receive visitors.
- Maintain church accounting records and prepare monthly financial reports. This includes reconciling bank statements, paying bills, coordinating check signers, maintaining donation information, and mailing giving statements
- Administer church payroll using ADP system. Keep employee information current. Distribute year-end W2/1099 forms.
- Manage communications. Prepare weekly bulletins and monthly church newsletter. Send church-wide emails. Create weekly announcement PowerPoint. Maintain church calendar.
- Assist church clerk with maintaining church membership records.
- Assist with ordering of literature and other supplies.
· Assist with work of church committees and ministries.
Expected Proficiency:
- Microsoft Office (expected proficiency in MS Word, Excel, PowerPoint, Publisher).
- Ability to learn Church Management Software and ADP.
- Basic accounting/bookkeeping skills.
- Clear communication skills, both oral and written. Proficient in spelling, grammar, proofreading and writing.
- Working knowledge of office technology.
- Good interpersonal skills. Able to work with a variety of people.
- Organized. Able to handle multiple tasks and responsibilities efficiently.
- Able to maintain confidentiality and handle sensitive information in a professional manner.
- Accurate, detail oriented.
